B2B Woven Fabric RFQ Specification Template: The 12-Point Mill Checklist

Complete B2B woven polyester fabric RFQ specification checklist: yarn denier/filament, construction density, GSM tolerance, cuttable width, Pantone/QTX lab-dips, ISO test standards, and AQL 2.5 inspection.

Woven polyester specification reference: greige base cloth with swatch card and GSM cutter

An incomplete textile Request for Quotation (RFQ)—such as asking for "100 GSM white microfiber, 20,000 meters"—guarantees a 20% to 35% price spread across quotes because mills must guess the yarn filament count, usable width, optical whiteness target, and shrinkage allowance. Locking a standardized 12-point technical specification sheet before requesting pricing eliminates hidden downgrade substitutions, prevents lab-dip rejections, and cuts quote turnaround to under 24 hours.

Use the copy-paste B2B woven fabric RFQ template below alongside our Technical Data Sheet (TDS) Generator, GSM Calculator, and 4-Point Inspection Calculator.

3. The 4 Most Common Hidden Spec Traps in Polyester Fabric Quotes

Trap 1: Overall Width vs. Cuttable Width (Pin-to-Pin)

When a wide-width stenter frame heat-sets fabric at 195 °C, the tenter pins pierce 1.5 to 2.0 cm along both left and right selvages. If you need a 280 cm cutting marker for seamless railroaded curtains or King bedding, specifying "280 cm width" without stating "280 cm usable cuttable width between pinholes" often yields 276 cm of usable cloth. Verify your marker layout in our Fabric Width & Cut Efficiency Calculator.

Trap 2: Filament Count Substitution (DPF)

A 75D/36F (2.08 DPF) yarn costs less to extrude and texturize than a 75D/72F (1.04 DPF) or 75D/144F (0.52 DPF) micro-filament yarn, even though both weigh 100 GSM. After brushing, 75D/36F feels coarse and pills rapidly, whereas 75D/72F and 75D/144F produce a dense, velvety suede pile. Check exact filament fineness in our Denier & DPF Calculator.

Trap 3: Shade Banding & Metamerism (D65 vs. TL84)

A lab-dip that matches your swatch in daylight (D65) can flare reddish or greenish under retail store fluorescent (TL84) or warm hotel LED (F11/LED) lighting if the dye recipe uses incompatible disperse trichromie dyestuffs. Always specify both your primary (D65) and secondary (TL84) illuminants on the RFQ.

Trap 4: GRS "Scope Certificate Only" vs. Shipment Transaction Certificate (TC)

A supplier's GRS Scope Certificate (SC) only proves the mill is audited to process recycled polyester; it does not prove your specific container load used certified rPET yarn. If your retail buyer requires verified recycled claims, specify "GRS Transaction Certificate (TC) required upon shipment" in the initial RFQ so the mill books certified rPET yarn lots from day one. Read our guide on How to Verify OEKO-TEX® and GRS Certificates.

Questions buyers ask

What information is required to get an accurate mill-direct fabric quote within 24 hours?
Provide 6 core parameters: (1) weave construction and yarn spec (e.g., 75D/72F × 150D/144F DTY 2/1 twill), (2) finished GSM and tolerance (±5%), (3) usable cuttable width (e.g., 280 cm between pinholes), (4) finish type (PFD, optical white, piece-dyed, disperse print, or TPU/PU coated), (5) order volume per color and total meters, and (6) destination port/Incoterms (FOB Shanghai/Ningbo or CIF).
Why do quotes from different textile suppliers vary by 20–35% for the 'same' fabric name?
Commercial trade names like 'Peachskin', 'Pongee', or 'Minimatt' cover wide ranges of yarn filament count, virgin vs. recycled chip grade, dye class, and width. Without locking filament count (e.g., 75D/144F vs. 75D/36F) and colorfastness grade (ISO 105-C06 Grade 4 vs. Grade 3), suppliers quote lower-spec constructions to appear cheaper.
How should B2B buyers specify roll inspection and defect penalties in a purchase contract?
Specify the ASTM D5430 4-Point System with a maximum ceiling of 20 to 24 penalty points per 100 square yards for piece-dyed/printed home textiles, paired with an ISO 2859-1 Level II Normal Sampling Plan at AQL 2.5 for roll-batch acceptance.
